02 · What we handle

Information you provide or create

The information depends on your role and the features you use. It may include:

  • Account and contact details: name, email address, phone number, account role, tenant identifier, and account settings. We store a password hash to authenticate your account; we do not store your password in plain text.
  • Property and tenancy records: property and unit names or addresses, rent amounts, lease dates and status, tenant invitations, and information needed to connect tenants with a property.
  • Payment and billing records: rent amounts, dates, billing periods, payment status, payment method or network, transaction references, and information submitted in a payment claim or verification. EstateNet is used to record and track rent claims; rent payments between users generally happen outside the app.
  • Messages and community content: messages sent through the service, notification content, and any forum posts, comments, or reactions you submit.
  • Optional images: profile or property images that you choose to select or provide through the app. Access to your photo library is requested when you use an image-selection feature.
  • Service preferences: notification choices, app settings, policy acceptance records, and account activity needed to operate and protect the service.

Information generated when you use EstateNet

When the app connects to our services, our systems and infrastructure may process basic technical information such as IP address, request time, app or operating-system version, and security or error logs. The app stores an installation-specific push-notification token if you grant notification permission. We do not request precise device location for the core property-management features.

03 · Why we use it

How information is used

  • Create and secure accounts, authenticate users, and provide role-based access.
  • Manage properties, units, invitations, leases, rent schedules, and payment claims.
  • Allow tenants, owners, and authorized managers to communicate and coordinate property matters.
  • Send service notifications about messages, payments, invitations, security, or important account changes.
  • Respond to support requests, prevent misuse, troubleshoot service issues, and meet legal obligations.
  • Maintain records of policy versions accepted by users and communicate material policy updates.

We do not use personal information for third-party advertising, sell it, or share it with data brokers. We do not use it to make decisions with legal or similarly significant effects solely by automated means.

04 · Who may receive it

When information is shared

We share information only as needed to provide EstateNet, at your direction, or when legally required:

  • Other EstateNet users: relevant tenant, lease, property, payment-claim, and message information is made available to the owner, manager, tenant, or other users authorized for that property or conversation. Forum content may be visible to other users of the community feature.
  • Service providers: providers that host or operate our database, servers, email delivery, and push notifications may process information for us under their service arrangements. Push notification tokens and delivery requests may pass through Expo's notification services.
  • Payment services: if you use an external payment option for an EstateNet service, relevant payment and contact details may be sent to the payment provider to complete and verify that payment. That provider handles the information under its own privacy terms.
  • Legal and safety reasons: we may disclose information when reasonably necessary to comply with law, respond to lawful requests, protect people or property, investigate fraud or security incidents, or establish and defend legal claims.
  • Business changes: information may be transferred as part of a merger or sale of the service, subject to applicable law and appropriate notice.

We do not authorize service providers to use your information for their own advertising. The specific infrastructure and payment providers can vary with deployment and the feature used.

05 · Optional device access

Photos and notifications

Photo library

EstateNet requests photo-library permission only when you choose an image feature. You can deny or revoke access in your device settings. Selected images may be used as profile or property content where the feature supports it.

Push notifications

If you allow notifications, the app registers a push token so EstateNet can deliver service alerts. You can disable notifications in the app or device settings. Some account or security communications may still be sent by email.

EstateNet does not require camera, microphone, or precise-location access for its core features.

06 · How long

Retention

We keep personal information for as long as needed to provide the service, maintain property and financial records, resolve disputes, protect the service, and meet legal obligations. Retention varies by data type and purpose; we do not apply an arbitrary fixed period to every record. Information that is no longer needed is deleted or de-identified where reasonably practicable. Limited copies may remain in routine backups until those backups are rotated.

After account deletion, some financial records (including invoices, payment claims, payment verifications, and service-payment records), audit logs, and certain invitation records may be retained for tax, audit, security, or dispute-resolution purposes. Retained records are restricted to those purposes and applicable legal requirements.

07 · Your choices

Access, correction, and account deletion

You can review and update account details in the app. To delete your account, open Profile → Settings → Delete Account, type DELETE, and confirm. Account deletion is also available by request if you cannot access the app.

Account deletion instructions

For access, correction, or deletion assistance, email support@estatenet.com. We may ask you to verify your identity. Deletion removes your active account and associated information, subject to the limited retention described above.

08 · Protection

Security and international transfers

We use safeguards intended to protect information, including authenticated access and password hashing. Information is sent to EstateNet services over network connections. No online service can guarantee absolute security, so please use a unique password and contact us promptly about suspected account misuse.

EstateNet operates from Uganda and service providers may process information in other countries. Where information is transferred internationally, we take steps required by applicable law to protect it.

09 · Age limits

Children's privacy

EstateNet is a property-management service and is not directed to children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided information to us, contact support so we can review and take appropriate action.

10 · Keeping this current

Changes and contact

We may revise this policy as EstateNet changes or legal requirements evolve. We will post the current version here, update the effective date, and provide advance notice of material changes where required. The app may also notify users about policy updates.
